We lived this one

When we got serious at The Doctor Ride, our own private pay NEMT company in Charlotte, we started running ads, doing walk ins, putting the word out. It worked. The calls picked up. The lead forms picked up. And it got messy fast.

We could not tell which lead had already been called and which one was still sitting there. Two of us would touch the same customer on the same day and neither of us knew it. Somebody would say they would follow up Thursday, and Thursday came and went. Rides were about to start slipping, and the busier we got the worse it was going to be.

That is not a discipline problem. It is what happens when a business outgrows the place it keeps information, which for most operators is a phone, a notebook, and somebody's memory. One NEMT is what we built to fix it, and we run it every day.

Every lead has a stage

A pipeline is just an honest answer to where is this one at. New inquiry. Quoted. Waiting on them. Booked. Lost. Every lead sits in exactly one stage and you can see the whole board at once.

It sounds basic. The value is that nothing is invisible anymore. A lead parked in quoted for nine days is on the screen instead of in the gap between two people who each assumed the other one had it. And when you lose one you mark why, so after a couple of months you know whether you are losing on price, on timing, or on not calling back fast enough. Those are three different problems with three different fixes.

One thread per customer, and more than one person can see it

Calls, texts, and email on the same customer land in one inbox, in order, with a timestamp on each. Anybody on your team can open it and read the whole history in ten seconds before they pick up the phone.

That is what stopped the double touching for us. If somebody already talked to her at nine forty this morning, you see it before you dial. You are not asking a customer to repeat what she already told somebody, which is what makes a small operation feel small.

The call that rings out still gets answered

You get a real business number, calls in and out, and texting from that same number. When a call comes in and nobody picks it up, a text goes out immediately: we missed you, tell us what you need, we will call right back.

That one automation recovers more rides than anything else in here, because the alternative is not voicemail. The alternative is that person calling the next name on their list. If the phone is your entire problem and you are driving solo, look at the AI receptionist instead. Some operators run both, for different reasons.

Follow up the system does, not you

Most lost rides in this business are not lost on price. They are lost because somebody asked for a quote on a Tuesday, you got busy, and nobody ever touched it again.

Follow up sequences handle that part. A quote goes out, and if nothing comes back the system checks in on its own schedule instead of waiting for you to remember at eleven at night. The business keeps working the leads on the days you are too busy to.

It does not replace your dispatch software

Say it plainly. This is not dispatch. It does not schedule vehicles, route drivers, or build your manifests. Dispatch software manages the ride once the ride exists, and it is good at that. Keep it.

One NEMT manages everything before the ride exists. Getting found, capturing the lead, working it, closing it. And we are currently working on the ability to push confirmed rides into Bambi Dispatch and Duet Dispatch, so you will not be typing the same customer twice. That piece is coming soon.

Private pay only, and that is deliberate

This system is built for private pay customers, full stop. It is not designed to handle facility contract rides or broker work. Broker and Medicaid trip records do not go in here, and neither do individual patient records a facility hands you. That is a designed boundary, not a feature we have not gotten to yet.

The reason is simple. The moment a system holds that kind of record, you and we are both into a much heavier data agreement with a long list of obligations attached, and the price of the software stops being the price of the software. Keeping it out is what keeps this an ordinary monthly subscription you can cancel on a Tuesday. Facility business contacts are fine. The scheduler at the dialysis center is a contact like anybody else.

No secret sauce: it is built on GoHighLevel

One NEMT is built on the GoHighLevel platform, and we are not hiding that behind some proprietary story. GHL is genuinely a great platform for building out a sales process. What you are paying for is access to that platform set up for an NEMT business: it comes built out similar to how we run ours, and from there you can use it as is, build on top of it, start from scratch, or hire us to build it for you.

At a minimum, we get your phone number and email up and running with you, including porting existing numbers into the system, and we hand you instructional videos so you can learn to customize it yourself. When not to buy this

If you are one person, driving, and the only thing breaking is that the phone rings out while you have a passenger in the car, you do not need this yet. You need the phone answered. Take the AI receptionist and come back here when there is a second person and the leads are outrunning your memory.

This one is for the operator with a team, or with demand picking up, who can already feel leads slipping between people. There is no prize for buying it early.

Straight answers

Does the website plan come with a phone number?
No, and we would rather be clear about that than surprise you. The website plan captures form fills into a leads inbox. Calls, texting, and missed call text back are One NEMT, which is a separate line item you can add whenever you want it.
How does the usage credit work?
Your account carries a wallet. A monthly credit lands in it and pays for the phone number, the carrier registration fee, calls, texts, and email sends. If you use more than the credit in a month, the wallet tops itself up from your card in small increments so nothing shuts off mid month. Most operators at normal volume never think about it.
Can I track broker or Medicaid trips in this?
No, and that is a deliberate boundary rather than a missing feature. One NEMT covers private pay customers only. Individual patient records referred to you by a facility are out too. Keeping that data out is what keeps this an ordinary software subscription instead of something that pulls both of us into a much heavier data agreement. Facility business contacts are fine.
Does this replace my dispatch software?
It does not, and it should not. Dispatch software manages the ride once it exists. This manages everything before that: getting found, capturing the lead, following up, and closing it. We can push confirmed private pay rides into Duet so you are not double entering.
Am I locked into a contract?
No. Everything here is month to month. If it stops being worth it, you cancel. The reason we can do that is the work is good enough that people stay, and a client who wants out is not a client worth holding hostage.
Is there a bundle if I take more than one?
No bundle, and no package pricing games. Each service is its own line item at its own price. Take one, take three, drop one next month. The math is the math.
